Call recording & transcripts
Meetings can record your video calls and, when a transcription service is set up, transcribe them. Recording is off until an administrator turns it on for the workspace. Once it is on, anyone in a call can record from the call bar, meetings you flag record on their own, and every participant sees a notice the moment recording starts. Recordings land on the meeting, the contact, and the related deal, and in the Recordings list.
Turn on recording (administrator)
Recording is off by default. An administrator enables it once for the whole workspace.
- Go to Settings → Call Recording.
- Turn on Enable call recording.
- Set Retention (days) to delete recordings automatically after that many days. Leave it at 0 to keep recordings until you delete them yourself.
- Set a Transcription service URL only if your workspace runs one. Without it, recordings are stored without a transcript.
- Save.
Consent is your responsibility
Recording other people can require their consent, and the rules vary by place. The platform posts an in-call notice when recording starts, but confirming that recording is allowed is up to you and your workspace.
Record a call
Once recording is on:
- Record on demand. A Record control appears in the call bar during a video call. Start it, and a notice is posted in the call so everyone knows recording is on. Recording stops when you stop it or the call ends, and the file uploads on its own.
- Record flagged meetings automatically. Tick Record this meeting on the meeting form. The next time people join that meeting's video room, recording starts on its own, still with the in-call notice.
Where recordings land
When a recording finishes, it is saved to the Recordings list under the Meetings app and linked to the work it belongs to. The platform posts a note with a link to the recording on:
- the meeting it came from,
- the contact on the call, and
- that contact's open deal, when there is one.
A recorded sales call shows up on the customer's timeline and the open opportunity without anyone filing it by hand.
Transcripts
If your workspace has a transcription service configured (its URL set in Settings → Call Recording), recordings are transcribed after they upload, and the transcript (truncated, labeled "Call transcript") is posted to the contact's timeline and the linked deal. Without a transcription service, recordings are kept without a transcript. Transcription is not part of every workspace. Ask us if you want it set up.
Who can see recordings
Recordings and the Meetings app are limited to the Call Recording roles:
- User — read recordings.
- Administrator — manage recordings and the recording settings.
An administrator assigns these in Settings → Users.
