Notifications
The notification center tells you when something happens in your workspace: a booking, a new lead, a paid invoice, a task for you. Each one shows in a bell in the top bar.
You can also get each one by email or as an alert on your phone and browser, and you choose which, event by event.
A feature switch controls it
The notification center is on unless an administrator has switched it off. It has a feature switch for each company, notify.center, that a mail administrator finds under Settings → Mail → Features and can switch off or back on. Each person sees the change the next time the page loads. While it is off, nothing is stored or sent, and nobody sees the bell, the Notifications group in Profile Settings or the Notifications section in Mail settings. A separate master switch under Settings → General Settings turns notifications off for the whole company (see For administrators).
What you are told about
Each event has a default audience and default ways of reaching them. Everyone can change their own choices.

An event only exists where its app is in your workspace: appointments need Appointments, leads need CRM and the website, website form messages need the website, invoices and payments need the online payment feature of invoicing, and tasks need Projects.
Some things already tell people on their own, and that stays as it is: the confirmation email a customer gets for a booking, the email a person gets when a task is assigned (if their notification preference is email), and Mail's own alerts. The notification center adds the item in the bell, and an email or alert for the person who was not being told.
The bell
The bell sits in the top bar and shows how many items are unread. Click it to open the list.
- Items sit under Today, Yesterday and Earlier, newest first. An unread item has a dot.
- Click an item to open the record it is about, such as the booking or the invoice. It is marked read as you go. A website form message and a test are about no record, so a click only marks them read, and if the record is gone or you cannot open it you see a short message instead.
- Mark all read clears the count. The dot beside one item marks only that item read.
- Show older loads more.
- Notification settings opens your choices.
The count and the list update on their own, without a reload. A pop up shows for a new item unless it arrived during your quiet hours, the list is already open, or it is part of a large burst. The pop up for an urgent item stays until you close it.
Items are removed 60 days after they arrive if you have read them, and 180 days after they arrive if you have not. Each person keeps their newest 500 items in the bell.
Mail has its own counter. The envelope in the top bar counts unread Inbox mail for people who have a mailbox, and the bell counts only the items listed on this page.
Choose how you are told
Open your avatar → Profile Settings → Preferences and find the Notifications group.

The same settings are repeated at the end of Settings → Notifications inside Mail, under Notifications from your workspace.
Phone and browser alerts
Alerts on a phone or browser need a device that has been allowed, and a workspace that has phone and browser alerts set up. On the notifications screen, under This device, click Allow notifications and accept your browser's question. Alerts go to every device you have allowed. While you have no allowed device, the Phone and browser switch looks dimmed and nothing is sent that way. You can still set the switch, and your choice applies once a device is allowed. If the screen says alerts on phones and browsers are not switched on for this workspace yet, ask an administrator. On an iPhone or iPad, add your workspace to the Home Screen first. Quiet hours
During your quiet hours:
- The bell still fills, without a pop up.
- Emails wait and go when your quiet hours end.
- Phone and browser alerts are not sent, because they would arrive late.
- Payment failed ignores quiet hours, because it is urgent.
For administrators
Under Settings → General Settings, find Notifications.
- Notifications is the master switch. Off, and nobody in the company is notified, whatever their own choices.
- In the app, By email and On phones and browsers switch one way of reaching people on or off for the company.
- Choose the defaults for your team sets what each event does for people who have not chosen. The same screen is under Settings → Notifications → Defaults for your team.
Each person can still change their own choices. The workspace switches sit above them, so a way you switch off for the company stays off for everyone.
Settings → Notifications → Notification log lists every notification that was created and who it was for. Open one to see what each way did with it. It keeps items for the same 60 and 180 days as the bell. Administrators can read every person's rows there, including the text of each notification. Each person sees only their own list in the bell.
Limits
- People who work in your workspace. Client portal users and archived users are not notified. For every event except Task assigned to you, when nobody named can be told, the administrators are told instead. That means people with the Administrator role in Settings, and an AI agent user does not count.
- Not about yourself. You are not told about something you did yourself, except for the test.
- Once per event and record. The same event about the same record reaches a person once, so a task assigned to you a second time does not tell you again. A moved appointment counts as new because its time changed. Each failed payment counts as new, because each attempt is its own payment.
- A burst is capped. When many of the same event reach one person within 10 minutes, the first five use every way you chose. After that, emails and phone alerts are held back and the bell keeps filling, quietly once there are a dozen. An urgent event such as a failed payment gets 20 before the cap, and its items turn quiet after 21.
- Email needs an address. If your user has no email address, the email way is skipped.
If you do not see the bell
- The notification center has been switched off in your workspace. It is on unless an administrator switched it off. Ask a mail administrator to switch
notify.centerback on under Settings → Mail → Features. - You have not reloaded the page. The bell shows the next time the page loads after the feature switch is back on.
- You are a client. The bell is for people with a workspace login.
- The bell is there but nothing arrives. If your administrator has turned off notifications for the company under Settings → General Settings → Notifications, or you have turned off Notify me, the list opens with a note that says so and no new items arrive.
