Mail settings

Mail keeps its settings where you read your mail. Click Settings at the bottom of the Mail sidebar and pick a tab on the left. Most changes save the moment you make them and show a short Saved beside the setting. The signature, the profile name, the auto reply and each rule have a Save button. Click Done to go back to your mail.

Each tab has its own link. Add #mail-settings/ and the tab's name to the end of the address of the Mail page, such as #mail-settings/reading, and Mail opens on that tab. The link works when the page loads and when you change the address in the same tab, so you can bookmark a tab or send it to a colleague.

A tab only shows when its feature is on for your workspace. Blocked senders, Rules, Auto reply, Import and export, Import from account, and Connect a mail app are features an administrator controls under Settings → Mail → Features. Import from account and Connect a mail app also follow a workspace policy, and Who can do what shows only for mail administrators. If a tab you expect is missing, ask an administrator to check there, or ask us at company@everjust.co.

On a phone, the list of tabs becomes a row you can scroll sideways.

Profile

How you appear to the people you write to.

  • Name. The name people see in the From line of what you send from the open mailbox, up to 80 characters. Only the owner of a personal mailbox can change it. An administrator manages the name of a shared mailbox.
  • Photo. A PNG, JPEG, WebP or GIF image under 1 MB. A square one works best. It is your photo wherever your name shows in your workspace, not only in Mail.

Signature

  • Signature. A rich-text signature, with bold, italic, underline, lists and links, for the open mailbox. Each mailbox keeps its own. Click Save signature.
  • When to add it. Every message, New messages only, Replies only, or Never. A forward counts as a new message.
  • Where it goes. Below my message, or Above the quoted reply. When a message has no quoted reply, the signature goes at the end.

The two choices apply to everything you send, from any mailbox. The signature itself belongs to the mailbox. See Compose & send.

Reading

  • Load images in messages. On by default. Turn it off to block remote images and the tracking pixels some senders hide in them. See Read, search & organize.
  • Fold quoted replies. On by default. The earlier messages in a reply sit behind Show quoted text, so the new message comes first.
  • Limit the line length of plain messages. On by default. It keeps a long plain text message readable on a wide screen. Designed messages are not touched.

Notifications

What new mail does to your attention. Tell me about, A notification shows and the sound follow you to every device and every tab.

  • Tell me about. All new mail, or Nothing. Nothing silences the pop up, the sound, the desktop notification and the alerts when Mail is closed, on any device. Unread counts still follow your mail. Everyone on a shared mailbox, its owner and its members, is told about its mail unless they choose Nothing.
  • A notification shows. Sender and subject, or Only that new mail arrived. A lock screen can be read by people you did not choose, and the second choice keeps the sender and the subject off it.
  • Play a sound when new mail arrives. On by default.

This device

The This device card says what this browser can do.

  • Allow notifications asks your browser for permission. Once it is allowed, Mail shows a desktop notification when a message arrives while the Mail tab is in the background. If you blocked notifications for the site, allow them in the browser's site settings and reload the page. On an iPhone or iPad, add Mail to the Home Screen first (iOS 16.4 or later), open Mail from there, and come back here.
  • Once notifications are allowed, an Alerts when Mail is closed card and a Send a test notification button appear under it. The card reads Alerts when Mail is closed: on when this device is registered, This device is not registered yet with Register this device when it is not, and Alerts while a Mail tab is open when an administrator has switched the feature off for your workspace.   • Send a test notification sends one and reports each path on its own line: the live connection to this browser, and the push to your registered devices. If a push goes out and nothing arrives here within 10 seconds, the line says so.
  • Devices that get alerts when Mail is closed lists each registered device with Remove.

When Mail alerts you

An alert follows your rules. Mail decides after the rules have run, so mail a rule moves to another folder, marks read or files in Spam does not alert you. Only unread mail in the Inbox alerts you, so mail you have already read, mail in Trash and mail from a blocked sender do not. In a burst, Mail counts the unread messages that reached a folder in the last minute. Each of the first three alerts you, and an open tab shows alerts that arrive within two seconds of each other as one pop up, such as "2 more new messages". After that Mail sends one summary, such as "10 new messages", at the 4th, 10th, 25th, 50th, 100th, 250th, 500th and 1,000th message, then at every 1,000th, and stays quiet in between. The envelope in the top bar counts unread Inbox mail only.

Alerts when Mail is closed

A notification arrives when the Mail tab is closed, on an installed app or on a phone. Your choices under Tell me about, A notification shows and the sound apply to these alerts too. The feature is on unless a mail administrator has switched it off under Settings → Mail → Features, where it is listed as mail.push. Each person registers each device: allow notifications on the device, then choose Register this device if it is offered.

Notifications from your workspace

The notification center is on unless an administrator has switched it off. While it is on, this tab ends with Notifications from your workspace. It repeats the settings from Profile Settings → Preferences → Notifications: Notify me, quiet hours, what an alert shows, a This device row with Allow notifications and a test button, and every event outside Mail, such as bookings, new leads and paid invoices, with switches for In the app, Email and Phone and browser. Phone and browser alerts go to the same devices that Devices that get alerts when Mail is closed lists. Remove drops a device, and a browser that is still allowed registers itself again the next time a page loads.

Compose

  • Undo send. Holds a message for Off, 5, 10, 20 or 30 seconds after you click Send, so you can take it back. The default is 10 seconds. See Compose & send.

Keyboard

  • Single key shortcuts. Keys like j, k, e and # act on messages. Turn this off if they clash with a screen reader or voice control. The command menu (Ctrl K, or Command K on a Mac) keeps working.

Appearance

  • List density. Comfortable shows the sender, subject, a snippet and any labels. Compact hides the snippet and the labels, so each row is shorter.

Mailboxes

The mailboxes you can reach, one row each. A chip says whether it is Personal, Shared or Agent, and the default mailbox is marked. Each row shows the Inbox unread count and an Open button. The manager of a shared mailbox also sees Members. People who may create shared mailboxes see New shared mailbox: mail administrators always, and everyone with a mailbox when the workspace policy allows it. Where importing from another account is on, an Import mail from another account button sits beside it. See Shared team inboxes.

Connections

One page for the accounts and apps linked to your mail. Send from your Gmail or Outlook address lists the addresses you have connected, with a status in words, when each was last used, and Connect Gmail, Connect Outlook, Reconnect and Disconnect. Calendars shows the Google and Outlook calendars you have connected, where they are set up. Other ways to connect opens Import from account, Connect a mail app and Notifications. Blocked senders

Mail from a blocked address goes to Spam instead of your Inbox. Nothing is deleted, and you can unblock an address at any time with Unblock. The list shows each address and when you blocked it. To block someone, click their name on a message and choose Block sender. See Read, search & organize.

Rules and auto reply

Rules sort new mail into folders, labels and Spam as it arrives. Auto reply answers people while you are away. See Rules & auto reply.

Import and export

Download a folder as an mbox file, or add the messages in .eml or .mbox files to a folder. See Import & export your mail.

Import from account

Copy the mail you already have at Gmail, Yahoo, iCloud, Fastmail or another provider into the mailbox you have open, once. The account's app password is used for the import and never stored. See Import mail from another account.

Connect a mail app

Add the mailbox you have open to Apple Mail, Outlook, Thunderbird, the Gmail app or another mail app. The page is titled Add this mailbox to your devices. Each device gets its own app password, which is shown once and which you can remove under Your devices. Mail administrators also see Everyone's devices. See Connect a mail app.

Who can do what

For mail administrators only. A read-only table of what the workspace allows, such as who can add a domain, create shared mailboxes, import mail, and open any mailbox. Each row says who can do it and whether the workspace can change it. It shows the rules and grants nothing. Administrators change the switches in Settings → Mail → Policy, and every change is recorded there. See Mail administration & deliverability.

What follows you and what stays here

Some settings are stored on your account, so they follow you to every browser and device. Others stay in the browser where you set them.

A setting kept in the browser is not shared between your laptop and your phone. Set it again on each browser you use.
