Connect your Google Calendar to your workspace calendar

People connect their own Google Calendar from Connected calendars in the Calendar side panel by approving access once at Google, and events sync both ways. Each connected row shows its status and offers Sync now, Pause syncing, Switch account and Disconnect, and disconnecting can remove the synced events from your workspace. An administrator can pause syncing for everyone. An Outlook Calendar row connects the same way. Calendar connect comes with new workspaces. If you do not see Connected calendars in Calendar, ask us to switch it on.

A notification center with a bell in the top bar

The notification center puts a bell in the top bar that lists new bookings, website leads, paid invoices, failed payments and tasks for you. It is on unless an administrator switches notify.center off under Settings, Mail, Features. An administrator can also switch notifications off for the whole company under Settings, General Settings. Each person chooses, event by event, whether to hear about it in the app, by email or on a phone or browser, and can set quiet hours and send themselves a test.

Use your mailbox in Apple Mail, Outlook and Thunderbird

Settings has a page for adding your mailbox to the mail program you already use: Apple Mail, Outlook, Thunderbird, Samsung Email or another. Each device gets its own password, shown once, which you can remove at any time. Apple Mail installs a profile in a few taps, and the other programs take eight settings that the page lets you copy. Mail you read and send there stays in step with your mailbox, but labels and drafts do not carry over. It is on unless an administrator switches it off under Settings, Mail, Features, and Settings, Mail, Policy decides who may use it.

Import mail from another account

Settings, Import from account copies the mail you have at Gmail, Yahoo, iCloud, Fastmail or another provider into a mailbox you own or share, once. You give it the account's address and a password you make for this at the provider. The password is used for the copy and never stored, nothing in the other account is changed, and imported mail arrives read, with no alerts, rules or auto replies. Outlook and Microsoft 365 are not offered yet. It is on unless an administrator switches it off under Settings, Mail, Features, and Settings, Mail, Policy decides who may use it.

Company logos beside senders and recipients

A company's logo can replace the letters for the other side of a message: the sender of mail you received, and on Sent and Drafts rows the first person you wrote to, as in "To: Dana Okafor and 2 more". Your workspace's server looks logos up, never your browser. Received mail shows its logo unless the sender's check failed, so older and imported mail show logos too. Free mail providers and your own domains keep letters, and a contact keeps a real photo. It is on unless an administrator switches it off under Settings, Mail, Features, and a General Settings switch turns it off for the company.

A policy for who creates shared mailboxes and who imports mail

Settings, Mail, Policy decides who may create a shared mailbox and who may import mail. Creating starts as Mail administrators only and can be opened to everyone with a mailbox, who then own what they create, own at most 10, and cannot take an address such as admin or postmaster. Importing starts as everyone and can be Mail administrators only or Nobody. It covers importing files and copying mail from another provider. Mail administrators also get a read only Who can do what table in Mail settings.

The sign-in page waits for its form

The grey placeholder on the sign-in page used to disappear before the form was ready, so on a slow phone connection you could see a logo and no form. It now stays until the form is on screen. If the form has not appeared after about 12 seconds the page shows it anyway, and with JavaScript turned off it shows at once.

AI agents get mail tools
AI agents and MCP, 2026-10-01
The MCP server is now version 2.3.1 with 41 tools. An agent can read a whole conversation without marking anything read, list your drafts and All mail, and save drafts, organize messages, manage labels, set up rules and set an auto reply. Blocking senders works unless an administrator has switched that feature off. Anything hard to undo shows a preview and needs confirm:true. An agent cannot create forwarding rules, change mail feature switches or mark a domain verified, and message bodies are kept out of the audit log. whats_new now returns notes like this one first.

Clearer previews and a stricter confirm for AI agents

mail_send now shows every recipient, Bcc included, and the first 500 characters of the text before it asks to go ahead. A confirm of false, no or 0 no longer counts as a yes in any tool. Switching on a rule that moves mail, and reordering rules that move mail, show a preview and need confirm:true. A very long subject, sender or file name is cut, and the answer says so. Dates in the new answers are UTC, with a Z.

Mail roles in Settings, Users

Settings, Users, Access Rights has a Mail row. Every internal user has Mail: User, which covers the mailboxes they own or share. Mail: Administrator, which every Administrator has too, creates mailboxes and shared mailboxes, manages domains and feature switches, and can open any mailbox in the workspace. Nobody gains or loses access. An AI agent has the rights of the person whose key it uses, so one connected as an administrator can read every mailbox.

Empty Trash and Delete forever

In Trash you can Empty Trash or Delete forever, each after a confirmation. The messages and their attachments are removed for good, with no undo, and nothing is deleted on a timer. It works only on a mailbox you own or share, even for an administrator, and any member of a shared mailbox can empty its Trash. An administrator can switch the feature off under Settings, Mail, Features. The MCP tools refuse both actions, and mail_organize stops at Trash.

New mail alerts follow your rules, and a Notifications page

An alert for new mail now comes after your rules have run, so mail a rule moves, marks read or sends to Spam no longer alerts you. In a burst of messages you get the first three alerts and then an occasional summary, not one per message. The badge in the top bar counts the Inbox only. Settings, Notifications lets you choose what to be told about (everything or nothing), whether an alert shows the sender and subject, and whether it plays a sound, and it sends a test notification.

Alerts when Mail is closed

Settings, Notifications can register your device, so an alert for new mail arrives when the tab is closed, on an installed app or on a phone. On an iPhone or iPad, add Mail to the Home Screen first (iOS 16.4 or later). A test notification shows which step works. Your choices about what to be told, the preview and the sound apply to these alerts too. It is on unless an administrator switches it off under Settings, Mail, Features.

Rules and auto reply

Settings has two new sections. Rules file, label, star or mark incoming mail for you: up to 50 rules with ten conditions each, and a preview of how many of your newest Inbox messages a rule would match before you save it. Forwarding and regular expressions are not offered. Auto reply answers outside senders with your text on the days you pick, once per sender per day, and never answers bounces or bulk mail.

Import and export your mail

Settings, Import and export downloads any folder as an mbox file, 3000 messages to a file, and imports .eml and .mbox files into a folder you choose: 50 messages at a time, 25 MB per message, 100 MB per file. Imported messages are filed as read and are never delivered or answered. An administrator can switch the feature off under Settings, Mail, Features.

Rename, recolor and delete labels, and search all mail

Labels come in twelve colors, and you can rename, recolor or delete one. Deleting a label takes it off its messages and never deletes a message. A rename to a name another label already has is refused instead of merging the two. Search can cover All mail: every folder except Trash, Spam and Drafts.

A sender card, and blocked senders

Click a sender to see a card: add them to your contacts or block them. Mail from a blocked sender is filed to Spam, never dropped, and Settings lists everyone you have blocked so you can undo it. Messages already received stay where they are. You cannot block your own address.

Signature rules, your name and photo

Choose which messages get your signature (every message, new messages only, replies only or never) and whether it sits below your message or above the quoted reply. Set the name shown on your mailbox and your own photo. You can also turn off the pop-up and desktop notification for new mail while keeping the unread badge.

A new look for mail, shortcuts and a phone layout

Mail has a new look: neutral colors, clearer type, and a message list you can set to roomy or tight. Press ? to see the keyboard shortcuts and Ctrl or Command K for the command menu. On a phone the folders slide in from a drawer and there is a Compose button. Settings opens as sections, each with a link you can share.

Undo for archive, trash and move, and a better composer

Archiving, trashing or moving mail now shows an Undo, and trashing a large selection asks first. Quoted replies fold away until you open them. The composer shows recipients as chips, shows when your draft was saved and keeps its header in view while you write. Undo, labels and moving mail belong to the organizing feature, which an administrator can switch on or off under Settings, Mail, Features.
