Connect your calendar

Connect your Google Calendar and its events appear in your workspace Calendar. Events you organize here go back to Google. You approve access once at Google, and each person connects their own account.

You connect from the Calendar side panel. Calendar connect comes with new workspaces. If you do not see Connected calendars in Calendar, ask us at company@everjust.co to switch it on.

Connect an account

  1. Open Calendar.
  2. In the side panel, under the small month calendar, find Connected calendars. Click Connect on the Google Calendar row. On a phone, tap the status button at the top of the calendar (it reads Connect calendar) and use the list that opens.
  3. Google asks you to approve access to your calendar events, and shows its account chooser if you are signed in to more than one account. Approve it.
  4. You return to the page you started from with the message "Calendar connected. Your events will appear in a moment." If you started in Calendar, the row reads First sync in progress, then Synced just now. If you started in Settings or Profile Settings, the first sync begins when you open Calendar.

The same card is in Profile Settings → Calendar. Administrators also find it in Settings → Calendar, and in the Connected accounts block at the top of Settings → General Settings.

If you also see an Outlook Calendar row, it connects the same way, as its own row under Google Calendar. It reads and writes your main Outlook or Microsoft 365 calendar.

What it syncs

  • Your main calendar. For Google that is your primary calendar. For Outlook it is your default calendar. Other calendars you own or follow are not read.
  • Both ways. An event on the connected calendar appears here. An event you organize and create or change here is sent to the calendar. A change you make here to an event someone else organized is not sent. With Outlook, create and change repeating events in Outlook, because Calendar does not allow it here.
  • A first sync, then upkeep. The first sync reads events from one year back to one year ahead (Outlook reads two years ahead). With Google it also sends the events you organize in that period to your Google calendar, up to 200 per sync, so events you already have here can appear in Google after you connect. With Outlook, events that were here before your workspace first synced Outlook are not sent. After that, changes you make here go to your calendar straight away, and changes made in your calendar come in when you open Calendar and at least every 12 hours. Sync now runs one straight away.
  • One account per provider. You can connect one Google account and one Outlook account at a time. Connecting both can copy events between the two calendars.

Deleting a synced event you organize deletes it in Google too

Creating, moving or deleting a synced event you organize here changes your real Google calendar, and deletes go both ways. To take synced events out of your workspace without touching Google, disconnect and choose to remove them. See Disconnect.

Read the status

Each row says where the connection stands, in words.

Status What it means
Not set up Calendar sync is not switched on for this workspace. Ask your administrator, who can ask us to switch it on.
Not connected You have not connected this account. Click Connect.
First sync in progress You are connected and the first events are still coming in.
Synced 5 minutes ago The last sync finished at that time.
Connected You are connected and the time of the last sync is not known yet.
Paused You paused syncing. Your connection and your synced events stay.
Paused for everyone An administrator paused syncing for the whole workspace.
Needs reconnect Google or Microsoft ended the connection, or it expired. Click Reconnect.

Sync now, pause, switch or disconnect

On a connected row, open the menu (the three dots) for these actions. In Settings → Calendar and Profile Settings → Calendar, Sync now and Disconnect are buttons on the card.

  • Sync now runs a sync at once and refreshes your calendar.
  • Pause syncing stops syncing for you and keeps the connection. Resume syncing (the Resume button on the cards in Settings and Profile Settings) starts it again and catches up.
  • Switch account disconnects the current account after you confirm, then shows the provider's account chooser. Events that came from the old account stay in your calendar unless you choose to remove them.
  • Disconnect stops syncing. See below.

Disconnect or switch account

A confirmation says what happens: EVERJUST.APP stops syncing with the account, and for Google it also asks Google to remove its access. If synced events exist, a box reads Also remove N events synced with Google Calendar from EVERJUST. Only events you organize are counted, which includes events you created here and sent to Google.

  • Box ticked. The events you organize that are linked to Google are deleted from your workspace. Google keeps its own copies. Events someone else organized stay.
  • Box left clear. The events stay in your calendar and stop syncing. With Google they keep their link to Google, so deleting one later hides it instead of removing it.

Microsoft does not let an app remove its own access. After you disconnect Outlook, remove EVERJUST.APP at account.live.com/consent/Manage if it is a personal Microsoft account. For a work or school account, ask your Microsoft 365 administrator. For Google you can also remove access at myaccount.google.com/permissions.

Pause syncing for everyone

Administrators can stop syncing for the whole workspace. In Settings → Calendar, open the Google Calendar or Outlook Calendar section, switch on Pause Synchronization for Everyone and save. The switch is for one provider at a time. Every connected row of that provider then reads Paused for everyone, with the note "An administrator paused syncing." Connections and synced events stay. An administrator lifts the pause by switching it off and saving, or, if they are connected themselves, with Resume for everyone in the row's menu.

Appointments

The Appointments booking page only offers a time when at least one staff member has no conflicting event. An event you organize on a connected calendar blocks a time once it has synced, the same as one you create here by hand. A new event in Google or Outlook can take up to 12 hours to arrive if nobody opens Calendar. An event marked Free still blocks. An event someone else organized, such as an invitation from a customer, shows on your calendar but does not block a time.

What we store and who sees it

  • Your connection. Your sign-in tokens, the address of the connected account and the time of the last sync, kept in your own workspace database against your user. Only workspace administrators and the service can read the tokens. Disconnecting deletes all three, and so does deleting the workspace.
  • The app secret stays with us. The secret that identifies EVERJUST.APP to Google and Microsoft is held only by the central EVERJUST.APP sign-in service, never by your workspace. That service passes your tokens straight to your workspace and keeps none.
  • What we ask for. From Google: your email address, to show which account is connected, and access to events on calendars you own. From Microsoft: your sign-in and profile details, read and write access to your calendar, and permission to stay connected until you disconnect. Only the email address is shown, on the card.
  • The events. Synced events show to the people who work in your workspace like any other event on your calendar. An event marked private shows to others only as Busy. They stay in your workspace when you disconnect unless you remove them.
  • Contacts. An email address on a synced event can create a Contact in your workspace. Disconnecting does not delete Contacts.

If you do not see Connected calendars

  • Calendar connect is not on in your workspace yet. Email company@everjust.co and we will switch it on. If we just did, reload the page.
  • You are signed in as a client. Calendar connect is for people with a workspace login. Client portal users do not see it.
  • A row says Not set up. The calendar add-on is installed, but connected sign-in is not switched on for your workspace. Ask your administrator, who can email us.

If Google blocks the sign in

If Google says the app has not been verified, or blocks access after you choose your account, email company@everjust.co with the Google address you used, and we will look into it.
