Use your calendar in other apps
You get a private link that shows your EVERJUST events in the calendar app you already use: Apple Calendar on an iPhone, iPad or Mac, Google Calendar, Outlook, Thunderbird, or an Android calendar app. The link is read only. Your events appear in the other app, and nothing you do there changes EVERJUST. Anyone who has the link can read your calendar, so treat it like a password. You can replace it or turn it off whenever you like.
The feature is on for every workspace, and it does nothing until you ask for your own link. No link exists until you click Add to my calendar apps and type your password. To bring a Google or Outlook calendar into EVERJUST, and to change events in both places, use Connect your calendar instead. That is a separate feature.
Get your link
- Click your profile picture at the top right, then Profile Settings.
- Open the Calendar tab and find Use your calendar in other apps.
- Click Add to my calendar apps. EVERJUST asks for your password again, unless you typed it in the last ten minutes, because the link opens your calendar to whoever holds it.
- A window opens with your link and a button to copy it, then one page of steps for each app. Pick your app and follow the steps.
The block also shows a status line. Before you have a link it reads "You have no calendar link yet." After an app has used the link it reads, for example, "Your calendar link is on. Last checked 3 hours ago by Apple Calendar. It lists 12 events." The name of the app is a best guess from what the app announces about itself, so an unusual app can show as "a calendar app".
To see the link and the steps again, click Show my link and steps. It asks for your password the same way.
Add it to your app
These steps follow what Apple, Google, Microsoft and Mozilla document. Menus move between versions, so if a name differs, look for the option that adds a calendar from a web address and paste your link there.
| App | What you do | How often it updates |
|---|---|---|
| Apple Calendar (iPhone, iPad, Mac) | Open the window on your device and tap Add to Apple Calendar, then confirm. By hand on an iPhone: Calendar, Calendars, Add Calendar, Add Subscription Calendar, then paste the link. On a Mac: File, New Calendar Subscription. | Apple's own schedule. On a Mac you choose: Control click the calendar, Get Info, Auto-refresh. |
| Google Calendar | On a computer, click Open Google Calendar in the window, then Add calendar. By hand: click the plus beside Other calendars, choose From URL, paste the link. The phone app cannot add a link, but the calendar shows there after it syncs. | About every 12 to 24 hours. Nobody can speed that up. |
| Outlook (on the web, the new Outlook, Outlook.com) | Calendar, Add calendar, Subscribe from web, paste the link, name it, Import. Classic Outlook for Windows: File, Account Settings, Account Settings, Internet Calendars, New, paste the link, Add. | Microsoft says about every 3 hours for Outlook.com and about every 6 hours for Outlook on the web, and it can take longer. |
| Thunderbird | Calendar tab, New Calendar, On the Network, paste the link as the location, continue, name it, finish. | About every 30 minutes. Change it in the calendar's properties under Refresh Calendar. |
| Android | Android calendar apps cannot add a link by themselves. Install ICSx5 (free), tap the plus and paste the link. It puts the events into your phone's calendar app and lets you choose how often it checks. DAVx5 does not subscribe to links. Or add the link in Google Calendar on a computer, and it appears in the app on your phone. | Whatever you set in ICSx5. |
The Add to Apple Calendar button uses a webcal address, and some Apple versions may first ask for it over an unencrypted connection. On a network you do not trust, paste the https link instead. Open Google Calendar appears only when your workspace address starts with https, because Google Calendar needs that.
Apps check on their own schedule, so a new booking can take a few hours to show up in another app, and up to a day in Google Calendar. Use Apple Calendar, Outlook or Thunderbird if you need it sooner.
What the file shows
The file lists the events you organize or attend, from the last 60 days to the next 12 months, nearest first, up to 5,000 events. If you have more, the file keeps the nearest ones and the status line says that later events are left out.
| In the file | Left out |
|---|---|
| The title, start and end, or the date for an all day event | Events you declined, and archived events |
| The place | Anyone else's name or email address, including the organizer and the attendees |
| Your notes, as plain text, cut at 2,000 characters | The details Odoo adds to the end of the notes of an event it creates: the name, email address and phone number of the organizer and of the person you are meeting. They are taken out whole, so a short note you typed on the lines right under them can go with them |
| The video room link, in the notes and as the event's link | Internal notes and links back into EVERJUST |
| Busy or free, and confirmed or tentative (an invitation you have not answered shows as tentative) | Events that are more than 60 days past or more than 12 months ahead |
| Events you marked private or confidential, flagged as such | Reminders that are email or text messages |
| The tags of the event, and reminders that show a notification |
A repeating event shows as one separate event for each time it repeats within those dates. Times are sent as exact moments, so each app shows them in its own time zone. The file carries the times EVERJUST has for each event.
Busy times only
Under What the link shows, choose Busy times only to hide the details. The file then holds only the time, labelled "Busy", and leaves out titles, places, notes, links, tags and reminders. It also leaves out events you marked as free. Change the choice any time. Apps pick the change up at their next check.
Keep the link private
The link works for anyone who has it: no password, no sign in. Do not post it or send it in an email. If it gets out, or you stop using an app:
- Get a new link replaces it. It asks you to confirm, then for your password. The old link stops working at once and answers "Not found", so the calendar in your other app stops updating. Remove that calendar from the app, then add the new link. Events the app already downloaded may stay there until you remove the calendar.
- Turn off deletes the link after you confirm. It needs no password. Apps that used it stop updating. You can make a new link later.
Every link that does not open gives the same answer, whatever the reason: a link that never existed, one you replaced or turned off, one whose owner no longer has an account here, and a workspace where an administrator switched the feature off. The answer tells a stranger nothing about which one it was.
What your workspace keeps
- A random number and a fingerprint of the link, not the link itself. The link is worked out from the random number and a secret that belongs to your workspace's database. That is how Show my link and steps can show it again without anyone storing it, and why a copy of the table alone does not open anyone's calendar.
- Facts for the status line. When an app last checked, the kind of app (a short label such as Apple Calendar, never the text the app sent), how many events the file listed, and how many times the link was used.
- Nothing about the events. The file is built when an app asks and nothing of it is saved. The file is built with your own access, so it never includes an event you could not see yourself.
- The address in logs. The link carries its secret in the address. Odoo's own log and the web server's access log replace the secret with
<redacted>. The web server's error log cannot be masked, so a request that fails inside the workspace is named there with its address.
How often an app may check
Each link answers up to 60 checks an hour. An app that asks more often is told "Too many requests" and when to try again, and starts working again on its own. A place that sends 20 wrong addresses in 10 minutes is refused for the next 10 minutes. A person using an app normally never sees either.
For administrators
- The switch. Go to Settings, Calendar, and find Calendar links for other apps. It is on for every workspace. Switch it off and every link answers "Not found" at once and the block disappears from Profile Settings. Links are not deleted, so switching it on again brings the same links back.
- A person's link. Open Settings, Users & Companies, Users, open the person and go to the Calendar tab. Calendar link for other apps shows whether they have a link and when an app last checked it, and Turn off this link deletes it, for example when someone leaves. You see that a link exists. You do not see its address.
- Someone who leaves. Deactivating a person's user makes their link answer "Not found" at once, with no extra step.
- Who has it. People with a workspace login. Client portal users do not see the block, and a portal user's link, if one existed, would not open.
If it does not work
| What you see | Why |
|---|---|
| The app says "Not found" or fails to subscribe | The link was replaced or turned off, it was copied with a character missing, an administrator switched the feature off, or your account was deactivated. Open Profile Settings, Calendar to see the state, and get a new link if you need one. |
| The app says "Too many requests" | It checked more than 60 times in an hour. Set a longer refresh time in the app. |
| An event is missing | Check the dates (the last 60 days to the next 12 months), whether you declined it, and whether the link shows busy times only and the event is marked free. |
| A new event takes hours to show | The app decides when to check. See the table above for how often each app does. |
| An event shows at the wrong hour | The file carries exact moments and the app converts them to its own time zone. Check the time zone of the app and of your device. |
| There is no Use your calendar in other apps block | You are signed in as a client, or an administrator switched the feature off for the workspace. |
