Your availability and time off

My availability is where you set the hours you can be booked, the dates that differ from them, and the days you are away. It also shows whether your calendar is connected, and it can list the times a visitor is offered. Everyone who uses Appointments has their own, and only an Appointments manager can edit someone else's.

Appointment types use your weekly hours when their Whose hours setting is The hours of each host, described in Appointment types & availability. Your time off applies to every type, whatever that setting says.

Open My availability

Open Appointments → My availability.

The first time you open it, Appointments makes your schedule for you: Monday to Friday, 9:00 to 17:00, in your own time zone. If your profile has no time zone it starts in UTC, so check the Time zone on the form.

You need the Appointments role

The menu shows for anyone with the Appointments role, User or Manager. An administrator grants it under Settings → Users.

Set your time zone and weekly hours

  1. Check the Time zone. Your hours are the wall clock of that zone, daylight saving time included, so 9:00 to 17:00 in America/Chicago stays 9 AM to 5 PM in Chicago all year.
  2. Open the Weekly hours tab.
  3. Click Add a line, then pick a Day of Week, a Start Time and an End Time.
  4. Add a line for each block of hours. For a break in the middle of a day, add two lines for the same day.
  5. To give every weekday the same hours, click Add weekdays on a row. Monday to Friday get that row's hours. A day that already has exactly those hours is left alone, and a day with other hours keeps them.

Change a single date

Open Date overrides for a date that differs from your weekly hours. Add a row, pick the Date, and choose what changes:

  • Not available takes the whole day off.
  • Other hours replaces your weekly hours for that date. Set the Start Time and End Time, and add two rows for a break in the middle.

Use a date override for one day. Use time off for a stretch of days.

Mark time off

Open Time off to list the days you are away. It is on your default schedule.

  1. Click Add a line.
  2. Pick the First day away. The Last day away starts out the same, so one day needs nothing more.
  3. Add a Reason if you want to remember it. Visitors never see it.
  4. Save.

Nobody can book you on those days, for any appointment type. Time off holds whether or not you have a calendar connected, and it takes the whole day in your time zone.

Time off belongs to you, not to one schedule. If you have more than one schedule, the list shows on the one marked Default schedule, and it follows the default when you change it. Managers can add schedules for a person under Appointments → Configuration → Schedules.

Check your calendar

The Your calendar box says what Appointments can see:

  • Google connected, refreshed 3 minutes ago or Outlook connected, refreshed 3 minutes ago. Both are listed when you connected both.
  • Google connected, not refreshed yet appears right after you connect, before the first refresh.
  • No calendar connected comes with a Connect your calendar in Profile Settings button. Open it, go to the calendar section and connect Google or Outlook. See Connect your calendar.

A booking page does not offer a time that an event on your calendar covers. That means an event you own or are invited to, unless you declined the invitation or marked the event as free. An all-day event takes the whole day.

Appointments pulls your connected calendar again every few minutes, so an event you add blocks its time soon. Out of the box a calendar is pulled again once it is more than 10 minutes old, and the check runs every 5 minutes, so a new event usually blocks its time within a quarter of an hour. Opening Calendar pulls it at once. The line on this form only reads the result and never starts a refresh.

For administrators

The 10 minutes is the system parameter everjust_appointment.refresh_minutes. Only people who are staff on a published type that uses time zones, gaps, limits or host schedules, and who have a calendar connected, are refreshed. The scheduled action is Appointments: refresh host calendars.

Preview times

Preview times lists the next 14 days as a visitor sees them, so you can check a change before anyone books.

  1. Click Preview times on My availability, or at the top of an appointment type.
  2. Choose the Appointment type. From My availability it starts with the first published type you take bookings for.
  3. Choose the Visitor's time zone. It starts with your own.

Each row is a day of the visitor's and the times they can pick on it. A day with nothing to offer says No times. The list comes from the same rules the booking page uses, so notice, gaps, limits, other bookings, your calendar and your time off are all in it. A visitor far from you sees different days: an evening in Chicago is the next morning in Karachi, so that visitor's first day can have fewer times and their second day more.
