Your personal booking link
Your personal booking link is a web address that shows the sessions you host, so a customer can pick a time with you without logging in. It ends with a name you choose, for example /book/weldon. A booking made through your link is yours: it goes on your Calendar, it is checked against your Calendar only, and it never goes to a colleague.
The booking page your company already has at /appointment does not change. It still gives each booking to the first free person on the session. Your link is for the times you want people to book with you in particular, such as the link under your email signature or on your business card. Mail can add it under your signature for you: turn on Add my booking link to my signature in Mail, Settings, Signature. See Mail settings.
Your page is off until you switch it on
Nothing is created for you by itself. You choose your address name, click Save, and turn the page on. Until then the link answers "page not found", the same as an address that never existed.
Turn it on
You need the Appointments role (User or Manager). An administrator gives it under Settings, then Users.
- Personal booking pages is on for the workspace unless an administrator turned it off in Settings, under Calendar. No personal page answers while it is off.
- Open Appointments, then My booking page.
- Look at Address name. It starts as a suggestion made from your name. Change it if you like.
- Turn on Show my booking page.
- Click Save. Your link appears on the right.
- Click Copy and paste the link where you want it.
If the workspace setting is off, the top of the page says so in a yellow box. When your page is on and live, a green box says so.
Choose which sessions people see
Your page lists a session when all three of these are true:
- the session is Published on Website,
- Listed on the booking page is on, and
- you are named in Staff Members on the session.
A session with nobody in Staff Members belongs to everyone, so it is not on anyone's personal page. A private link session (listed off) is not on your page either. Its own private link still works as it always did, and it does not tie the booking to you.
My booking page lists every session that names you and says whether your page shows it, so you can see why one is missing. Each session your page shows has its own link and a Copy button. Use it when you want to send someone straight to one session. A manager changes Staff Members, publishing and listing under Appointments, Configuration, Appointment Types. See Appointment types & availability.
Change your address name
- Open Appointments, then My booking page.
- Type the new name in Address name.
- Click Save.
- Click Copy to take the new link.
The rules:
- Use lower case letters, numbers and hyphens, with no spaces.
- Use 3 to 40 characters.
- Start and end with a letter or a number, use one hyphen at a time, and include at least one letter.
- A name another person has, or had before, is taken. A word the workspace keeps for itself, such as
support, billingoradmin, is refused. So is a name that a page, a menu or a redirect of your website already uses.
When a name does not work, a red sentence under the field says what to change, before you save. If you save anyway, you get the same sentence in an error box and nothing changes.
Links you already sent keep working. Your earlier name leads to the new one, and no one else can take it. The Copy button always copies the address as it is saved, so after a change, click Save first and then Copy. A name you have typed but not saved is not a working address yet.
What customers see
- They open your link and read "Book a time with" and your name, with a card for each session: its length, its place and its description.
- They pick a session, a date and a time. The times are the open hours of the session that your Calendar leaves free.
- They enter their name and email and, if they want, a phone number, an address and a note, then click Confirm booking.
- They see "You're booked", with the session, you, the time and, for an online session, a button to join the video call. A calendar invitation is on its way to their inbox.
The page shows your name and nothing else about you: no email address, no login. It asks search engines not to list it, so only people who have your link find it.
Two people can host the same session with their own links. A time you are booked at is not offered on your link, and it does not stop your colleague's link from offering that time.
Turn your page off
Open My booking page, turn off Show my booking page and click Save. The link answers "page not found" at once. Turn it on again and the same link works. If your user is deactivated, your page stops answering too.
A short address such as /weldon
Your link is /book/weldon. A shorter address such as /weldon on your website is a redirect that an administrator adds. It sends people from /weldon to /book/weldon.
- Choose and save your address name first, for example
weldon. - Ask an administrator to open Website, then Configuration, then Redirects, and add a redirect from
/weldonto/book/weldon. - Open the short address in a private window to check it.
Do it in that order. A redirect that already exists at /weldon makes the form refuse the name weldon, because the name would read as that page. If one exists, an administrator deletes it first and adds it back, pointing to your page, after you save the name.
If you change your address name later, the short address keeps working: it reaches the earlier name, which leads on to the new one. Ask an administrator to point the redirect at the new name when it suits them.
Calendars
Your page only offers times when your Calendar is free. To count a Google Calendar or an Outlook calendar too, connect it in your Profile Settings. On My booking page, the Calendars box has a Manage button that opens Profile Settings. See Connect your calendar.
If it does not work
| What you see | Why |
|---|---|
| People who open your link see "page not found" | Your page is off, the workspace setting is off, or the address was mistyped. My booking page says which of the first two it is. |
| A yellow box says personal pages are turned off for the workspace | An administrator turned Personal booking pages off in Settings, under Calendar. It has to be turned back on. |
| A session is missing from your page | It must be published, listed, and name you in Staff Members. The list on My booking page says which one is missing. |
| The list on My booking page is empty | No session names you in Staff Members. Ask an Appointments manager to add you. |
| There is no Copy button, or no link | The page is not saved yet. Click Save. |
| The address name is refused | Read the red sentence under the field. It says what to change. |
| You cannot see My booking page | You need the Appointments role. An administrator gives it under Settings, then Users. |
For administrators
- The switch. Settings, then Calendar, then Personal booking pages. It is on by default and covers the whole workspace. Each person still turns on their own page.
- Who has a page. Anyone with the Appointments role, one page each. Only that person changes it, apart from Appointments managers, who can change any page and give a page to another person.
- Short addresses. They are redirects made under Website, Configuration, Redirects. Add them after the person has saved the address name.
- When someone leaves. Deactivating their user makes their page answer "page not found".
