Set up calling & SMS
Setup is short because most of it is done for you. You ask us to enable the integration, connect your Ringover account with one API key, and each person signs in to the softphone once. We handle the sending number, the real-time syncing, and US carrier registration with you.
Ask us to enable calling
Calls & SMS is enabled per workspace, not switched on from the Apps page. Ask us to enable it for your workspace and we turn it on for you.
What you need from Ringover
- A Ringover account for your business, with at least one phone number.
- A Ringover seat for each person who calls or texts.
- For texting, Ringover's Business plan or higher.
- Each person's Ringover login on the same email address as their workspace sign-in, so calls attribute to the right person.
Connect your Ringover account
An administrator connects the account once:
- Sign in as an administrator and open Settings.
- Find the Ringover Integration section.
- Paste your Ringover API Key. It starts with
US_orEU_. Leave the API URL as it is. - Click Save.
From here, calls sync into the workspace automatically every 10 minutes. Incoming texts arrive in real time through the webhook we register next — they don't have a 10-minute fallback.
Let us finish the wiring
Tell us which Ringover number you send from. We set the sending number and register real-time syncing with Ringover, so calls log within seconds of hangup and incoming texts thread onto your contacts. Without it, calls still arrive on the 10-minute sync — but incoming texts won't appear at all, since the webhook is the only way inbound texts reach your contacts.
Sign each user in to the softphone
Every person does this themselves:
- Click the phone icon in the top bar. The softphone panel opens.
- Sign in with your own Ringover login.
- Check that the email matches your workspace sign-in, so your calls attribute to you.
Ringover's Chrome extension and mobile apps work alongside the panel; calls you make there sync into the workspace too. Links to both sit in the Ringover Integration section of Settings.
Turn on texting
- In Settings, find the SMS setting.
- Pick Send via Ringover.
- Click Save.
US texting requires carrier registration
US carriers require business senders to register before texts deliver. The registration is called A2P 10DLC, and we complete it with you. Until your number is approved, outgoing texts are marked failed rather than silently dropped.
If calls or texts aren't appearing
- No phone icon in the top bar — the integration isn't enabled yet. Ask us to enable it for your workspace.
- Calls log but aren't attributed to the caller — the person's Ringover email doesn't match their workspace sign-in.
- Calls take a while to show up — without real-time syncing, calls arrive on the 10-minute sync. Tell us your sending number and we register it.
- Outgoing texts marked failed — the SMS provider isn't set to Send via Ringover, or your number's US carrier registration is still pending.
- A reply never arrived — incoming texts attach by phone number. A text from a number that is on no contact is not kept, so put the number on the contact first.
