Vendor bills

A vendor bill records what you owe a supplier. You enter the vendor, the lines and their purchase taxes, then post the bill and register the payment. Bills sit in the Vendors area of the Invoicing app, the payable mirror of a customer invoice. You can key a bill in directly or create it from a purchase order so you only pay for what arrived. Bills are typed in; there is no receipt-scanning step.

Record a bill

  1. Open the Invoicing app and go to Vendors > Bills.
  2. Click New and pick the vendor.
  3. Add a line for each product or service, with quantity, price, and the purchase tax.
  4. Set the bill date, the vendor's reference (their own invoice number), and the due date.

Post and pay

  1. Check the lines and totals against the supplier's invoice.
  2. Click Confirm to post the bill to the ledger.
  3. Click Register Payment, then pick the journal, amount, and date.

The bill marks as Paid or Partially Paid. This mirrors how you record a customer payment in Get paid.

Bill from a purchase order

If the spend started as a purchase order, create the bill from the order rather than keying it fresh, so the bill starts from what you received.

  1. In the Purchase Orders list, select the confirmed order and click Create Bills. You can also start a bill here and pick the order in its Auto-Complete field.
  2. Check the draft against the order's Received and Billed columns, so you pay for what arrived rather than what was promised.
  3. Adjust any line the vendor got wrong, then post and pay.

Bills are entered by hand

Photographing or emailing a bill to have its lines read in automatically is not part of the product. Type the bill in, or pull it from a purchase order.
