Reminders & follow-up
Every event carries its own communications schedule: a confirmation when someone registers, and reminders at the offsets you choose before or after the event. Each entry sends an email or a text from a template, processed by a background scheduler. Separately, lead rules turn registrations into CRM leads — at registration, confirmation, or attendance. Without a rule, registrations create no leads.
Schedule confirmations and reminders
The schedule lives on the event, so different events can remind differently. Events created from a template inherit the template's schedule — see Create an event.
- Open the event and go to the Communication tab.
- Add a line per message. Choose email or text, and pick the template to send.
- Set when it goes out: after each registration for the confirmation, or at an offset such as 3 days or 1 hour before the event. Entries can also fire after the event for a thank-you or a survey.
A common schedule is three lines: confirmation on registration, a reminder a few days out, and a reminder an hour before start.
When messages go out
Sends are processed by a background scheduler, not the instant a trigger hits. A confirmation for a brand-new registration goes out on the scheduler's next pass. Each schedule entry shows its status — scheduled, sent, or error — and keeps a per-attendee log, so you can check exactly who received what.
Send reminders by text
A schedule entry set to text rides your workspace's SMS provider. Until an admin has set one up, event texts will not deliver — see Set up calling & SMS. Email entries are unaffected.
Turn registrations into CRM leads
Lead rules connect Events to your pipeline. Each rule creates one lead per attendee, carrying the attendee's details, and assigns it the way you decide.
- In the Events configuration menu, open the lead generation rules and create a rule.
- Choose when the lead is created: at registration, when the registration is confirmed, or on attendance. Attendance-based rules turn your check-in list into a warm-lead list.
- Choose which events the rule covers: one event, every event built from a template, or all events.
- Optionally filter which attendees qualify.
- Set the salesperson, sales team, and tags the new leads get.
No rule means no leads — registrations alone never reach CRM. Work the resulting leads in Capture leads.
Why didn't my message send?
- The entry shows an error. Open its per-attendee log to see which sends failed and why.
- Nothing has gone out yet. The scheduler runs in the background; a fresh confirmation goes out on its next pass, not the moment someone registers.
- Texts never arrive. No SMS provider is configured for the workspace — see Set up calling & SMS.
- Nobody is registering at all. The event page may be unpublished or limited to a smaller audience — see Publish your event site.
